Via APIs (Most Common)

Most modern business software has APIs — programmatic interfaces that allow other systems to read and write data. AI systems connect to these APIs to pull data for analysis, push results back, and trigger actions. CRMs like Salesforce and HubSpot, accounting tools like Xero and MYOB, and project management tools like Jira and Asana all have well-documented APIs.

Via Database Connection

For systems that expose their database directly (more common in on-premises enterprise software), AI can connect directly to read operational data. This requires careful security configuration but is often the most direct integration path for older systems.

Via File/Document Exchange

Some integrations work through file exchange — AI processes documents dropped in a folder or sent via email, and returns structured data or actions. Simpler to implement than API integration, but less real-time.

Via RPA (for Legacy Systems)

Robotic Process Automation can bridge AI to systems with no API — interacting with the software UI the way a human would. Higher maintenance than API integration but sometimes the only option for legacy systems.
